Include the following when available:

  • Requester: attorney, insurer, corporate representative, or other authorized contact
  • Reference: matter, claim, file, or project name or number
  • Preservation objective: what must be preserved and the relevant date range
  • Timing: preservation deadline or requested completion date
  • Primary contact: name and contact information

Source Information

Identify the sources and any condition or availability concerns:

  • Sources: devices, mailboxes, cloud repositories, files, or system records
  • Availability: current location, custodian, or access status
  • Source details: device type, model, capacity, account type, or export format if known
  • Recent changes: repair, reassignment, reset, wipe, deletion, or export activity
  • Constraints: transfer, shipping, travel, return, or timing requirements

Initial Response

The initial response addresses the source, timing, access requirements, and the information needed to define the requested preservation.

  • Secure transfer: instructions are provided when files or account exports are required
  • Device receipt: transfer and return requirements are confirmed before shipment or handoff
  • Phone consultation: available after initial intake when direct discussion would assist
